Executive Assistant | Cool NFP biz!


We have just buddied up again with a truly awesome client and a good friend of ours at affix to help them find a gorgeous NEW Executive Assistant for their team.

Our client houses some of the most lovely huuumans you’d ever want to meet, and we think that they’re one of Brisbane’s most well-kept secrets in the NFP space. At their essence, they’re a software house that’s plugged into an international community of scientists and researchers that make up part of the Australian Federal Government’s eResearch infrastructure roadmap. All this in conjunction with the Australian Universities and CSIRO for innovation across science, health, and technology! They also actively work with Universities and research centers across the globe that are focused on tackling issues from COVID, human genome mapping, children’s cancer research to enabling astrophysicists to identify low wave frequencies in space and capturing gravitational waves. Pretty exciting stuff, if you ask me?!
Let’s talk about this role then, shall we?

This role will see you wearing a coordinator’s hat (don’t worry, no whistles involved), providing day-to-day assistance to the leadership team in preparing important documentation, events & calendar management, organising travel & accommodation (yes, we can finally travel, yaay!), taking minutes on board meetings and communicating with & coordinating other staff, students and external bodies, to give a few examples. 
BUT the real essence of the role is to provide a good set of proactive eyes on everyday tasks and processes, and get ahead of the game. The role would fit someone really well, that is a real doer, an organised soul and a true process person with some great experience as an Executive/Personal Assistant to leadership teams.

And what about you? What tricks do you have up your sleeve?

  • You’re one of those supremely organised people and your approach to your work is no different. 
  • You are an experienced EA and you just naturally LOVE coordinating, organising and making sure things are in place ALL the time.
  • You’ve got gorgeous written and oral communication skills [obvs].
  • You are an [i] dotter & a [t] crosser with strong attention to detail in your writing and proofreading.
  • You LOVE processes and you have some good hacks up your sleeve on how to set up procedures that make the leadership team’s life a hell of a LOT easier.
  • You have a good knowledge in preparing & writing spot on committee documentation, submissions and reports.
  • You have great & tested tricks on how to provide REALLY good assistance and you’re not afraid of showing initiative and introducing new things that work just SO well. 

Fancy some dot-points around what you’ll be owning in this role? I’ve got you!

  • You’ll be a planner, coordinator & minute taker on board meetings, this will involve logistics and prepping some great succinct agendas & meeting packs.
  • You’ll be an awesome & efficient calendar manager for the CEO, COO and other team members.
  • You’ll oversee the day-to-day operational duties to ensure things are in place.
  • You’ll manage the office equipment purchases and credit card reconciliation.
  • You’ll implement some well-tested office processes that will make everyone’s lives easier, including developing filing procedures.
  • You’ll coordinate events, liaise with attendees and make travel arrangements for when the exciting time comes for some cool company events.
